KIDS MATTER App-Data Export Instructions

KIDS MATTER App operates by using your individual agency NACCRRAware data. In this sophisticated and complex process, our role is to provide the export file of your particular agency data based on a defined template for the developers to import into the App. We have tested the process extensively. The steps needed to initiate the process of creating the export file are outlined below.

These instructions assume that you are in the process of completing the Advanced Support Request Form that once submitted, will allow for the retrieval of the data needed to set up the KIDS MATTER App for your agency. You can download the Advanced Support Form from the Child Care Aware of America website.This is the direct link to the file:

In addition, the following points give context and clarity to the process we have in place:

  1.  The Advanced Support Request Form asks the data manager to provide the name of the Custom Query and Custom Report created and saved in your agency’s NACCRRAware database. This will remove the guess work from both parties and stipulate clearly the data the NDS team needs to pull.
  2. Your agency should determine and share with us the desired Frequency of the data pull (once a day, once a month…). The frequency does not affect the cost but the size of the data that need to be pulled will affect how often we can update the data within your desired frequency.
  3. The NDS team will provide the data to your agency via a secure ftp site, along with the login credentials to access the site.
  4. There may be additional cost if the agency requests a drastic customization of the data pull, the Template being a sample data file that will be provided to you for reference when we acknowledge and respond to your submitted Advanced Support Request Form.

 

Steps to create an export file from NACCRRAware

  • Navigate to Custom Search and select Provider.
  • Select the field(s) needed for your custom search query that pulls the appropriate providers for the Kids Matter App (for example, providers marked as “Give Web Referrals”).
  • Build your query and run it to insure the results are correct and the desired providers are included in the report. Close the report window.
  • In the “Search Name” field, enter a name with which to save the custom query. Click “Save Search”.
  • Click the “Return” link to return to the query builder screen.
  • Click the “Custom Report” button.
  • Select the fields needed for the Kids Matter App. This includes the following provider fields:
    1. Agency Name
    2. Business Name
    3. First Name
    4. Last Name
    5. City
    6. State/Prov.
    7. Zip
    8. Type Of Care
    9. Area Code
    10. Phone
    11. Minimum Age Range
    12. Maximum Age Range
    13. Street Address
    14. Transportation
    15. Email
    16. Days of Care
    17. Start Time
    18. End Time
    19. Quality Indicators
    20. Special Needs
  • Arrange the column order for the selected fields so it matches the list above. There is no need to sort this report.
  • Select “Location” as the value for the address type selection field.
  • In the “Report Name” field, enter a name with which to save the custom report. Click “Save Report”.
  • Click the “Return” link to return to the custom report options screen.
  • Click “Run Custom Report” to verify that the report provides the required data.
  • Provide the names of your custom search query and custom report on the Advanced Support Request form. (This step is very important as mentioned above in #1)
