Viewing and Managing Changes Submitted by Providers

To get started, select from the Administration dropdown menu.


Search

Search to find the specific records or type of records you want to review.

  1. Search the database based on any combination of the following:
  • Provider ID
  • User Name
  • First Name
  • Last Name
  • Business Name
  • City
  • County
  • State Zip
  • Profile - Select from the OPS Profiles you have created. ()
  • Field Status - Select from ALL, Approved, ChangeRequired, and ReadyForReview. ()

    For example, if you need to identify all of the changes that are Ready for Review, then search by ReadyForReview. This will bring up all of the fields that need to be reviewed by the CCR&R. If you want to identify all of the changes that are Approved in a specific profile you can search by status and profile.

  • Field Name - Select specific field names, if desired. ()
  1. Toggle the items per page from 10 to 100 to control how many items display on each page of the search results screen(s).
  2. Click Search. This will take you to the Field Approval/ChangeRequired Details screen. On the left of the screen you will see the search criteria you used to obtain your results. The screen contains a list of the changes that meet your search criteria.
    • If you need to change your search criteria scroll to the bottom of the screen and make appropriate adjustments to your search criteria. Click on the Search button to refresh your search results.
    • You can change the way the list is sorted by clicking on the column headers. Click once to sort the list by the selected column in ascending order. Click again to sort the list by the selected column in descending order.


Review and Process Submissions

When you have completed your search and reviewed the submissions, choose between two actions: Approved or Change Required.

  • Approved: Changes submitted are correct and you want them transferred to the Provider's record in NACCRRAware. To Approve submissions:
  1. Review items that have a ReadyForReview status.
  2. Select the items you want to approve by clicking in the corresponding check box in the right hand column. (Click the "All" box in the top row to select all items in the list.)
  3. Scroll to the bottom and click on the Approve button to approve the changes and enter them into NACCRRAware.
  • Change Required: Information that the provider has submitted is unclear, incorrect, or incomplete and you need the Provider to make changes to what has been submitted. To Require Changes to submissions:
  1. Review items that have a ReadyForReview status.
  2. Select the items for which change is required by clicking in the corresponding check box in the right hand column. (Click the "All" box in the top row to select all items in the list.)
  3. Enter comments for each change as appropriate. Comments should explain the needed change to the Provider.
  4. Scroll to the bottom and click on the Change Required button to send the changes back to the provider to review and make adjustments.

After clicking Approve or Change Required, a pop up window will ask you if you are sure you want to submit Approvals or Change Required. Click OK if you want to proceed, or Cancel if you want to make changes.


PLEASE NOTE: Once you click OK, the Approval/Change Required action will be logged into the record. You will have to follow through with your email to the provider on the next screen or you will not be able to resend the email to the provider. Please be sure you are ready to send the emails to the provider before you click OK.

 


Notify Providers and Complete the Action.

Notify Providers via email that their changes have been approved or that corrections are needed.

  1. After clicking OK, OPS takes you to the Provider - Field Approval/ChangeRequired Summary Details screen. You have two options for sending notification emails to the Providers:
  • Select Send Email to Providers if you want to send the Approval/Change Required email to the provider immediately.

  • Select Schedule Batch Email to Providers to set a date to send the email. Click on the calendar icon beside the date field to select a date for sending.

    NOTE: You may want to do this if providers are making changes over time so they don't receive a lot of individual emails. It will combine all of the emails scheduled for a specific date into one email per provider record. When you schedule a Batch email you have the option to add universal comments that will post on each change.

Remember, although you do have the option to return to the Search screen, if you do so at this point you will not be able to send the approval/change required emails to the provider.

  1. Enter the comments you want to add to the email.

  2. Click on Submit to send the email or schedule the batch email. You will see a pop up window asking if you are sure you want to send the email. Click OK. The screen displays a confirmation message that the email was sent or the batch email was scheduled.
  3. Click Back to Search to return to the search screen or select one of the menu items to continue working in OPS
